Advisor(s)
Job Description & Responsibilities:

Serve as liaison and foster relationships between EOFSAA and EOFPANJ.
Participate in the planning, implementation, and the evaluation of the organization’s goals, objectives, and team retreats.
Lead the development and review of the Leadership Team members, personally and professionally to help ensure the individual’s success within the team, leading to the overall organization’s success.
Engage the Leadership Team in professional development activities, including but not limited to, attendance at conferences, workshops, and providing training sessions.
Represent the organization during the monthly EOFPANJ board meetings should the member(s) of the Leadership Team is not able to attend.
Provide resources and feedback on projects and initiatives.

Qualifications & Requirements:

Must be an EOF Alumna/Alumnus with at least a Bachelor’s Degree
Has a background of working with staff and organizations in higher education
Demonstrate strong leadership skills with prior experience in leadership positions, preferably non-profit organizations or higher education
A team player and demonstrates mentorship qualities
Must be highly organized and has strong interpersonal skills
Be strong project manager and be able to multi-task well

Advocacy Chair
Job Description & Responsibilities:

Overseeing advocacy efforts for alumni engagement.
Developing strategies to best represent the needs of the EOF alumni and supports them in voicing their needs to legislators.
Filtering, collecting, and organizing relevant information to provide to alumni in an easy to understand format on matters posing a threat to the existence of EOF while including potential action items for them to advocate.
Coordinating events to educate and promote awareness of issues pertaining to EOF alumni in accordance with important dates that coincide with legislative support.
Empowering regional Liaisons in advocating regionally with templates, content materials, and strategies.

Qualifications & Requirements:

Must be an EOF Alumna/Alumnus with an Associate’s or Bachelor’s Degree and applicable professional experience
Has a significant experience in or understanding of political science
Has a strong background in higher education, understanding of the history/politics of the EOF program, and advocacy work
Demonstrate strong leadership skills with prior experience in leadership positions
Must be highly organized and a self-motivator and self-starter
Be able to establish and maintain effective working relationships with board members, volunteers, community agencies and general public

Benefit Specialist
Job Description & Responsibilities:

Procuring and establishing services exclusively available to EOFSAA. members in areas of professional development, retail services, educational access, and financial support/counseling.
Maintaining a catalogue of benefits organized in the form of a directory that is updated bi-annually.
Creating methods and strategies for recognizing membership benefits to the fulfillment of the EOFSAA. mission, in the forms of grants, special projects or opportunities, academic scholarships, and service awards.
Building and maintaining relationships with vendors and partners to enhance the benefits for our members by having at least one annual conversation or meeting with said partners/vendors.
Actively seeking out opportunities to network with vendors, partners, and organizations.
Being responsible for compiling feedback on benefits usage, member satisfaction, and growth of the benefits package being offered to the membership.
Working with the Events & Marketing Manager on promoting benefits through social media, mailing lists, and events.

Must embody the vision, mission, core values of the Association in their work as well as in their behavior.

Data Specialist
Job Description & Responsibilities:

Overseeing data collection and maintaining the organization’s database.
Ensuring the data integrity of alumni list into the Association’s database platforms including but not limited to our Customer Relationship Management (CRM), Email Management, Membership/Employment Benefits Platform
Inputting and organizing collected data of any into the system established for data management.
Developing strategies and surveys to gather feedback for future improvement.
Segmentation, cleaning, and maintaining of data of members that enhance targeted communications as the result of working with Benefits Specialist, Events and Marketing Chair, Regional Liaison etc.
Creating analytical reports and develops strategies to leverage our data

Events & Marketing Manager
Job Description & Responsibilities:

Operating as the lead of events and marketing for the Association, but in the circumstance in which either becomes an overwhelming responsibility, the Events & Marketing Manager will recruit an assistant to oversee either the events or marketing responsibilities, with the approval of the Executive Board.
Being responsible for site searches and contracting locations/ facilities/ venues for events, workshops, or other engagements.
Organizing and proposing an event schedule consisting of at least one event per quarter of the year with objectives and an execution plan.
Working with the Treasurer in developing a proposed expenses budget for the all event related expenditures in conjunction with EOFSAA.
Being responsible for all branding and promotion materials of the Association and works with the Public Relations Specialist and Social Media Specialist to ensure the EOFSAA brand is accurately utilized and represented in all avenues.
Creating and managing the overall branding guidelines in the form of a Branding Kit for the Association’s reference.

Qualifications & Requirements:

Must be an EOF Alumna/Alumnus with an Associate’s or Bachelor’s Degree and applicable professional experience with a background in event planning as a plus
Demonstrate strong leadership and management skills with prior experience in leadership
Must be highly organized and a self-motivator and self-starter

Fundraising Chair
Job Description & Responsibilities:

Developing fundraising efforts (campaigns and short or long term initiatives) toward increasing the financial capabilities of EOFSAA and oversees any source of income for the Association.
Working with the Treasurer to monitor the utilization of raised funds.

Membership Liaison
Job Description & Responsibilities:

Acting as the point of contact for the membership body of the Association and is the direct voice of the members and shares with the whole board, any issues that the membership is facing.
Helping the Public Relations Specialist in identifying alumni spotlight features for alumni with significant achievement.
Networking with alumni and identifying potential benefit leads and passing them along to Benefits Specialist.
Helping the Executive Board identify talent and recruiting of alumni members for board vacancies.
Engaging members on social media to increase involvement in the Association.
Supporting new Chapter members through onboarding.
Supporting the Events & Marketing Manager with welcome strategies for new members events.
Maintaining and cultivating membership culture through constant, active engagement with the members.

Qualifications & Requirements:

Must be an EOF Alumna/Alumnus with an Associate’s or Bachelor’s Degree and applicable professional experience

Demonstrate strong leadership skills with prior experience in leadership positions, preferably in nonprofit organizations or higher education relating to student engagement
Has a strong understanding of the history of the EOF programs across the state
Needs to be a professional, approachable, fun and outgoing individual who enjoys networking
Should be a strategic, innovative, and a critical thinker pertaining to alumni engagement
Must be highly organized and a self-motivator and self-starter
Be able to establish and maintain effective working relationships with board members, volunteers and all EOF Alumni both virtually and in person

Parliamentarian
Job Description & Responsibilities:

Being responsible for ensuring all meetings are conducted by Robert’s Rule of Order (latest edition).
Calling the meeting to order and adjourning the meeting.
Announcing motion on the floor and tallying up final votes on the floor.
Having the ability to vote on removing a board member from a meeting and striking any and all communication / participation in the meeting with board majority in the case meeting becomes hostile or disruptive including the use of profanity, demeaning comments, and/or acting unprofessionally.

Qualifications & Requirements:

Must be an EOF Alumna/Alumnus with an Associate’s or Bachelor’s Degree and applicable professional experience
A political science background is preferred but not required

President
Job Description & Responsibilities:

Being the Chief Executive Officer of the Association.
Presiding over all board meetings and conferences and he/she has the opportunity to attend any other meetings that may be held.
Preparing, with the assistance of the Executive Board, an annual report which will present information on the Association’s activities, fiscal condition, and progress/fulfillments of the goals and objectives.
Being responsible for creating and implementing strategies, projects, and processes that lead to the Association’s growth and development.
Attending all networking events hosted by the Association and events related to EOF Alumni (as needed) along with events or meetings hosted by the EOF Professional Association of NJ to represent the Alumni Association.
Working with the Vice President to monitor all projects within the Association to support and mentor board members when necessary.

Public Relations Specialist
Job Description & Responsibilities:

Upholding the positive and accurate branding of EOFSAA according to the approved guidelines set in the Branding Kit.
Being proactive in developing strategies and creative materials to promote the positive image of the Association.
Mitigating any negative press and/or situations in which the Association was poorly represented at the result, but is not limited to, of any actions of current or former board members, alumni, or any person claiming association with EOFSAA when necessary.
Working with the Events & Marketing Manager to monitor the updating of social media, any promotional material, and the website on a consistent basis to ensure negative press is addressed.
Reporting on progress made with any plan of action that he/she would like to utilize and educates the whole administrative body on said plan.
Putting together official press releases
Acting liaison with institutional, vendor, and community partners
Procures institutional and vendor partners

Must be an EOF Alumna/Alumnus with a Bachelor’s Degree and a minimum of two years of professional experience

Regional Liaison(s)
Job Description & Responsibilities:

Being responsible for cultivating membership and organizational culture.
Building relationships with key members of the community in their respective regions in order to promote community events and/or other initiatives that are aligned with the Association’s goals.
Working with the Events & Marketing Manager to recruit sponsors for events and/or initiatives in the form of funding, knowledge, resources, volunteers, and/or material goods.
Being responsible for procuring, developing, and maintaining relationships with EOFSAA Chapters’ Directors and members in their respective regions to best assist them with relaying their needs to the Executive Board.
Working with the Events & Marketing Manager to conduct site searches for events in the region and the Liaison will lead the onsite executive of said events if the Events & Marketing Manager cannot be present.
Being the greeter at all EOFSAA hosted events in their designated region and leads the networking and introductions for the attendees.

Secretary
Job Description & Responsibilities:

Managing the team email and handling correspondence with our partners and members
Being the official record keeper of all meeting minutes, attendance, and proceedings.
Collecting all minutes and proceedings of all sub-committees to archive and share with the rest of the board members.
Keeping an organized record of all files, reports, correspondence, and information necessary to the function and purpose of the organization.
Delivering, within (10) ten days after the conclusion of each Executive Board meetings, copies of the minutes to the Executive Board.
Being responsible for the annual update of the Policies and Procedures Handbook.
Providing Board Members with timely notice of meetings and action item deadlines.
Being responsible for collecting agenda topics and formulating an agenda draft for the President and Vice President’s approval prior to distribution.
Maintaining a proper up-to-date internal calendar of events in which event dates should provide to him/her at in advance. Internal events are defined as events or meetings that is limited to only the whole board.

Social Media Specialist
Job Description & Responsibilities:

Building and executing social media strategy through competitive research, platform determination, benchmarking, messaging, and audience identification.
Generating, editing, publishing and sharing daily content (original text, images, video or HTML) that builds meaningful connections and encourages community members to take action.
Setting up and optimizing company accounts/pages within different social media platforms/outlets (Facebook, Twitter, Instagram, etc.) to increase the visibility of company’s social content.
Continuously improving by capturing and analyzing the appropriate social data/metrics, insights and best practices, and then acting on the information.
Collaborating with other executive board members (Events & Marketing Manager, North/Central/South Liaisons, etc.) to manage reputation, identify key players and coordinate actions.

Treasurer
Job Description & Responsibilities:

Overseeing the proper accounting of EOFSAA’s budget and assisting the Leadership Team in financial strategic planning to ensure financial stability of the Association.
Acting as the liaison to EOFPANJ’s Treasurer and is responsible for submitting proposals, revisions, and resubmissions to attain funding for EOFSAA.
Being responsible for reconciling, maintaining, and tracking all financial transactions for any purchase or all expenditures with proper receipts and Documentation.
Providing a financial update report, which includes the current account overview, recent expenses, and income, to the Executive Board about the organization's financial standing at each board meeting.
Handling all disbursement in any manner approved by a majority vote of the Executive Board members.
Being responsible for working with the President to file all State and Federal reports as required of the Association.
Being responsible for depositing, all funds of the Association received within (5) business days of receipt.
Submitting payments only to the organizations of persons under which the Association has terms of agreement with, in which an invoice and W9 is required.

Qualifications & Requirements:

Must be an EOF Alumna/Alumnus with an Associate’s or Bachelor’s Degree and applicable professional experience
A background in economics or finance is prefered.
Must be highly organized and excellent time management
Should be a self-motivator and self-starter
Has a critical eye for detail and experienced with financial reporting, data analysis and budget management

Vice President
Job Description & Responsibilities:

Assuming the role of the President in his/her absence. If the President cannot complete his/her term, the Vice President shall assume the presidency.
Presiding over board meetings in the President’s absence.
Supporting the President in monitoring all internal initiatives and board members’ responsibilities including progress and goal completion.
Performing other such duties as may from time to time be assigned by the Executive Board President and shall act on the President’s behalf when so requested.
Collaborating with the President to support the Secretary in drafting meeting agendas.
Attending all networking events hosted by the Association and events related to EOF Alumni (as needed)
Representing the Alumni Association in the absence of the President at events or meetings hosted by the EOF Professional Association of NJ.

Designing and updating new material and information on the organization's website
Perform regular tests, updates, and enhancements to ensure the website’s functionality and security
